Reporting to the University Secretary and Legal Counsel, the Governance Officer provides support to the governing bodies of the University (Board of Governors and Senate), assists with institutional policy development, oversees records management and privacy processes, and contributes to the Secretariat’s overall mandate of promoting good governance, authentic engagement, and accountability across the institution.

Key Responsibilities
Governance and Committee Support
• Provide executive-level support to the Board of Governors, Senate, and associated committees.
• Coordinate and prepare meeting materials, ensure decisions comply with legislation and university policy, and assist in developing stakeholder engagement strategies.

Policy Development and Administration
• Manage the institutional policy review and development process.
• Guide Faculties and Departments through policy creation, revision, and publication, maintaining the official University policy registry.

Records and Information Management
• Lead implementation of the University’s records classification and retention systems.
• Support compliance through training, systems development, and promotion of best practices in records management and archiving.

Access to Information and Privacy
• Support the Designated Privacy Officer in coordinating Access to Information requests and privacy compliance.
• Maintain current knowledge of relevant legislation and develop training and resources for staff.

Administrative and Financial Support
• Support Secretariat budgeting and financial processes, including monitoring expenditures and preparing financial reports.
• Assist the University Secretary and Legal Counsel with legal research, correspondence, and documentation management.

Qualifications & Experience:
• A post-secondary degree in public administration, business, law, or a related field.
• Experience in university governance, policy development, records management, or access and privacy administration.
• Knowledge of relevant legislation, including the University Act and the Access to Information and Protection of Privacy Act.
• Strong interpersonal and analytical skills, with the ability to manage complex and confidential information.
• Proficiency with Microsoft 365 (including SharePoint) and digital document management systems.
